Planning a Japan Trip (or anywhere) with AI Part 4: Smart Reservations and Pre-Travel Prep

The itinerary was mapped. Temples sequenced, neighborhoods picked, transportation solved. What was left was the unglamorous part: the reservations, the checklist, the small logistics that decide whether a trip flows or turns into a scramble. This is where I leaned on AI travel planning the hardest, and it's also where I learned the limits of trusting it blindly.
Where AI Got the Hakone Leg Right (and Where It Didn't)
My Japan itinerary included a stay in Hakone, the mountain town southwest of Tokyo known for onsen ryokans and lake views. I asked ChatGPT to help time the trip out of Tokyo and find a ryokan that fit my budget. It nailed the first part. It worked out exactly which train and bus combination got me there with the least dead time, and it flagged the transfer window I would have otherwise missed.
The ryokan pick was a mixed result. It matched my budget almost exactly, but the location it landed on was more isolated than I wanted. I ended up relying on taxis to get around, which worked out fine financially, but I wasn't prepared for how thin public transportation gets once you're off the main Hakone loop. That's the kind of tradeoff a ChatGPT travel planner will make without flagging it unless you ask directly: budget and location aren't always solvable at the same time, and AI will optimize for whatever you weighted most in the prompt.
The prompt that got me there:
Find a ryokan in Hakone under [budget] per night that's within walking
distance of the Hakone Tozan line or a main bus route. Flag anywhere
that would require a taxi to reach public transit.I didn't ask for that second sentence the first time. I should have. Lesson one: if location convenience matters as much as price, say so explicitly, or the AI trip assistant will quietly trade one for the other.

Timing the Reservations That Actually Mattered
Once the ryokan was locked in, I used ChatGPT to build a reservation timeline for the rest of the trip, the same way I'd timed the Hakone leg. Tokyo's most in-demand restaurants and attractions open booking windows on strict schedules; TeamLab Borderless (now at Azabudai Hills after the Odaiba location closed) sells out fast during peak weeks, and top sushi counters like Sukiyabashi Jiro are typically booked through a hotel concierge months out, not by walking up.

It read my itinerary and flagged which bookings needed a three-month lead time versus which restaurants I could walk into. What it can't do is check live availability or confirm a booking window hasn't shifted since its training data, so I still double-checked exact dates against the venue's own site before committing.
The Pre-Travel Checklist AI Built for Me
The checklist ChatGPT generated for pre-travel prep was more useful than I expected, especially for details I wouldn't have thought to research myself. A few corrections worth noting for anyone using AI to build this list for Japan specifically:
Welcome Suica requires no deposit at all, which is actually better than older advice suggests. It's valid for 28 days from first use, and any leftover balance isn't refunded, so don't overload it right before flying home.
Connectivity turned out to matter more than I expected, directly because of the Hakone situation. When you're relying on taxis in an area with sparse transit, having working data isn't optional, it's how you actually get picked up and get where you're going. I used an Airalo eSIM for this trip, and being able to activate it before landing meant I had maps and translation working the moment I stepped off the train, which mattered a lot more in Hakone than it did in central Tokyo.
IC card and cash strategy matters everywhere, but especially in smaller towns where not every shop or ATM takes foreign cards.

The Itinerary That Broke When the Ferry Stopped Running
Hakone was tight on time, so I had ChatGPT build me a step-by-step itinerary for the day: which side of Lake Ashi to see first, where to catch the sightseeing boat, how to loop back. It worked flawlessly, right up until it didn't.
What it never mentioned was that the Lake Ashi sightseeing cruise, the pirate-ship-style ferry that connects Togendai, Moto-Hakone, and Hakone-machi, stops running for the day in the late afternoon (typically around 5 p.m., earlier or later depending on season). I'd planned to take it back across the lake, and by the time I got to the dock, the last boat was gone. The itinerary hadn't budgeted a buffer for that cutoff, and it hadn't told me the cutoff existed in the first place.
That's the real lesson from this whole trip: a ChatGPT travel planner is excellent at sequencing a day and terrible at knowing which parts of that sequence have a hard deadline it wasn't told about. AI doesn't know a ferry's last departure unless you ask it to check, and even then, operating hours shift by season, so the honest move is to verify anything with a fixed cutoff against the operator's own site before you build your day around it.
A better version of the prompt I should have used:
Build a step-by-step itinerary for [day/location]. For any leg that
depends on a ferry, cable car, or last train, tell me you don't know
the exact cutoff time and that I need to verify it directly.Mistakes to Avoid
Assuming AI knows operating hours and last departures. It doesn't, unless the information happens to be in its training data and hasn't changed since. Anything with a hard cutoff, ferries, cable cars, last trains, needs an independent check.
Optimizing a booking for budget without also specifying location convenience. AI will solve for whatever you weight in the prompt. Say both if both matter.
Underestimating how thin transit gets outside city centers. Hakone's taxis bailed me out, but I'd have priced that in ahead of time if I'd known.
Overloading a Welcome Suica right before departure. The balance doesn't come back.
Treating the eSIM as a nice-to-have. In a spot with limited transit, working data is how you actually get unstuck.

What I'd Do Differently
The reservation timing AI handled well. The pre-travel checklist saved me real research time. But the itinerary gap taught me that "trust but verify" applies just as much to a travel plan as it does to a line of code. AI is excellent scaffolding: it gets you 90% of the way to a smart plan. The last 10%, the hard deadlines and local quirks, is still on you to confirm.
If you're planning something similar, start with the prompts above, but add one more question to every itinerary AI hands you: "What in this plan has a fixed cutoff I should verify myself?" That single question would have saved me a stranded hour at the wrong end of Lake Ashi.
